Licensing Coordinator: Become the Newest Member of the Vans Family

As the Licensing Coordinator, you will be an important member of the Licensing team and supporting the Footwear, Apparel, Marketing, Merchandising and Legal departments during the entire licensing lifecycle.

This involves creating and analyzing seasonal business reports, data entry to databases, tracking and organizing samples, assisting getting approvals during marketing creation and tracking the catalog creation process. Additionally, you’ll be working closely with each Global Category Manager to support Licensing Projects with tasks including, but not limited to: reviewing products for legal compliance, ordering and shipping samples for contractual compliance, and sell-through. In this role, the successful Licensing Coordinator will be analytical, precise, organized and proactive. At the heart of Vans’ Licensing team, you will be exposed to multiple cross-functional teams such as Global Design, Development, Marketing, Legal and Regional Merchandising teams, therefore the Licensing Coordinator will need to be very comfortable working and communicating with larger groups and various team members. You will be working with other passionate team members and engaging in a position that deeply supports the multiple departments embracing the industry, consumer and culture you are in.

How You Will Make a Difference:

Support Licensing partnerships and projects by organizing and tracking information to contribute to the overall success of the company, including coordinating and keeping organized reports on outside approvals for all Licensed Products and the Global catalog process and organizing and tracking samples for all product categories (Footwear, Apparel and Accessories). Work closely and proactively with cross-functional teams (including product, marketing, retail merchandising, compliance and legal) as a dedicated point of contact to coordinate and communicate Licensing program and product information and ensure a successful licensed product creation process. Participate in the complete product development process to support seamless product approvals and meet on-time product launch dates. Manage Licensing databases and maintain a Master Licensing Line List (seasonal/SMU) for all product categories (Footwear, Apparel and Accessories). Track products through each phase of development including; line review, design approval, sample ordering, product integrity requirements, catalog review and contractual sample approval. Monitor Factory Audit approval status for all Vendors producing Licensed product and assist with Factory Audit communication, as needed. Work closely with Product Compliance team to collect and organize necessary product safety, Restricted Substance (RSL) and regulatory Product Integrity information each season. Upload compliance test reports and product information to Licensing databases and monitor Product Integrity approval status. Work closely with New Product Introduction (NPI) team to provide weekly status updates regarding approvals and on-time delivery. Provide guidance regarding proper inventory liquidation procedures for Licensed products. Assist with communication and procedures for any delays, defects, questions or concerns related to Licensed products. Other tasks that may be assigned from time to time which contribute to the overall success of Vans.

Skills for Success:

Years of Related Professional Experience: 2-4 years of experience in an administrative type role.

Educational/ Position Requirements:

  • A Bachelor’s degree or equivalent from a four-year college and 2-4 years related experience and/or training that provides the required knowledge, skills and abilities.

  • Experience working in Footwear, Apparel or Product licensing.

  • Strong Microsoft Excel skills.

  • PowerPoint and Adobe Illustrator experience is a plus.

  • Comfortable in a fast-paced, demanding, self-starter environment and capable of developing and maintaining effective, professional relationships amongst internal and external stakeholders, including multiple cross-functional teams.

  • Ability to handle multiple projects at the same time effectively and efficiently, remain flexible, manage client’s expectations in a demanding environment, and think strategically and act tactically in prioritizing, re-prioritizing and following through with all tasks, assignments and jobs in a timely manner while anticipating needs and responding to changing demands.

  • Extremely well organized and analytical mindset, including to compile data and analyze business reports.

  • Proactive team player with a positive attitude and excellent interpersonal and communication (verbal and written) skills.

  • Detail, goal/results and solutions-oriented.

  • Independent, self-motivated and proactive with a strong work ethic and sense of pride and accountability in work.

  • Passion for Art, Music, Action Sports and/or Street Culture, a plus.

Special Physical and/or Mental Requirements:

  • Travel by air and overnight, as required less than 5% amount of time.

  • Ability to be flexible with extended work hours, as necessary.

  • Bend, lift, open and move product and related office items varying in weight from 1 to 25 lbs, depending on need.
